How we use your information
This page explains what personal information Natural Stone Craft holds, why, how long we keep it and what you can do about it. Last updated: 10 October 2026.

We are the controller for the information described on this page. For any privacy question or request, please email us. We don't take privacy requests by phone.
Business contact details we use to get in touch
We sometimes email businesses to tell them about our services, such as our AI receptionist for tradespeople.
- What we hold: the business name, company number, a contact name, a work email address and the business address.
- Where it comes from: public sources, such as Companies House or the business's own website. Each email says where we found your details.
- Who we email: only limited companies and LLPs (checked on Companies House), or people who have asked us for information.
- Lawful basis: legitimate interests. We have a genuine interest in telling businesses about relevant services, we keep the contact short and relevant, and you can stop it at any time.
- How long we keep it: no more than 12 months if you don't reply. If you become a customer, we keep what we need to run the work and meet our legal and accounting duties.
- Opting out: reply "stop" to any of our emails, or email [email protected]. We'll remove you straight away and won't contact you again. We keep only a note of your email address on a do-not-contact list, so that we don't contact you again by mistake.
Calls answered by our AI receptionist
When you call us and we can't pick up, or when you call a business that uses our AI receptionist service, the call may be answered by an AI (computer) assistant. It tells you at the start of the call that it is an AI and that the call is recorded. If you'd rather not be recorded, it can take just your name and number and pass on a message.
- What we collect: the call recording, a written transcript, your phone number, and what you tell us (for example your name, the job you need and a time that suits you). If you send photos for a quote, we keep them only as long as needed for the quote.
- Why: to deal with your enquiry, take a message and request a booking. Bookings are only requests until a person confirms them with you.
- Lawful basis: legitimate interests, or taking steps at your request before a contract.
- How long we keep it: call recordings are deleted after 30 days. Transcripts and notes held by our providers are deleted after 90 days.
- When it's another business's line: if you called another business that uses our service, that business is the controller of your information and we process it only on their instructions. Their own privacy notice applies, and you can also contact them directly.
Who else processes this information
We use these providers (sub-processors) to run the AI receptionist and bookings:
- Retell AI: AI voice platform that answers calls and produces transcripts.
- Twilio: phone numbers, call connection and text messages.
- Cal.com: booking requests and scheduling.
- Google: calendar and email.
Some of these providers are based outside the UK, mainly in the United States. Where your information goes outside the UK, it is protected by approved safeguards, such as the UK International Data Transfer Addendum or the UK–US data bridge. We don't sell your information or use it for anyone else's marketing.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that's wrong;
- ask us to delete your information;
- object to us using your information, including for direct marketing (we'll always stop marketing when you ask);
- ask us to restrict how we use your information;
- ask for your information in a portable format, where that applies.
To use any of these rights, email [email protected]. We'll reply within one month.
How to complain
If you're unhappy with how we've handled your information, please email us first and we'll try to put it right. You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint.
